How to instruct us

INSTRUCT US BY MAIL/FAX by printing the "Request for Recovery" instruction form, completing it and sending to us with appropriate documents.

DOCUMENTS REQUIRED TO PURSUE A CLAIM.

Ideally the following documents are required for us to pursue a
claim with a good chance of recovery. We realise that some of
them may not be available, however, we will do the best we can
with any available documents.

  • Copy of the insurance policy (if applicable)
  • Subrogation letter (if applicable)
  • Breakdown of the claim amount
  • Commercial Invoice
  • Packing list
  • Bill of Lading - a clear copy of both sides
    (ORIGINAL if possible)
  • Charter Party (if applicable)
  • Survey report (with COLOUR photographs,
    where appropriate)
  • Outturn receipts at each stage of delivery
  • Tally sheets (where appropriate)
  • Claim notice to the carrier
  • Invitation to the carrier to attend a joint survey

For bulk and liquid cargoes:

  • Draft survey or ullage report at loading and discharge
    ports.

For containerised cargoes we also need:

  • Equipment Interchange Receipt (EIR) or equivalent from
    loading and discharge ports
  • Evidence of security seal at each stage of transit

In addition, the following documents may assist depending on circumstances:

  • Product specifications (in cases of contamination)
  • Copies of correspondence
  • Sale contract

NOTE: Wherever possible, we would prefer original documents.

All relevant comments written in foreign characters should
ideally be translated into English - an internal translation is
usually sufficient.

All instructions are accepted subject to our standard terms and conditions which are available on request.
